- High School Diploma or equivalent. College degree preferred
- Previous clerical, accounting, or administrative assistant experience
- Strong organizational skills with the ability to quickly switch between tasks as needed
- Attention to detail with the ability to problem solve
- Excellent prioritization and time management skills
- Friendly and welcoming demeanor
- Ability to work as a member of a team
- Experience with word processing, spreadsheets, email, finance software, and other commonly used office tools
- Demonstrated ability to learn to use job specific technology tools
- Meet District grooming and interpersonal standards
- Be able to work a 40-hour workweek, work is in the office barring unforeseen circumstances
- Be available 12 months of the year
Reports to: Executive Director of Operations Job Goal: To perform a variety of administrative and clerical tasks in support of the Executive Director of Operations and the Support Services team. Performance Responsibilities:
- Greets visitors, vendors, contractors, and others who enter the building and directs them to the appropriate people as needed
- Answers phone calls and assists or directs callers to the appropriate people
- Organizes schedules, including regularly occurring service, inspections, service calls, deliveries, etc…
- Generates online requisitions and purchase orders, rectifies invoices with purchase orders and/or charge card statements
- Contacts vendors and/or contractors to set up accounts, verify billing, review invoices, etc…
- Assists support services department heads and crew members with acquiring quotes, purchasing materials, and receiving shipments
- Maintain office supply inventory
- Maintain and order staff uniform inventory
- Schedules routine maintenance for fleet vehicles and equipment
- Maintains water well usage records
- Assists with the preparation of bid documents, letters, and other correspondence sent by the Executive Director
- Assists with maintaining tools and parts inventory
- Performs other duties as assigned.
PHYSICAL REQUIREMENTS/ENVIRONMENTAL CONDITIONS:
- Manage job requirements with physical mobility to move from place to place (walking, standing, stooping, pushing, pulling as needed.
- Occasional lifting of up to 30 pounds may be required.
- Requires regular attendance and/or physical presence at the job.
Terms of Employment: Twelve-month at-will position. 40-hour work week or as established by the Board. Schedules or shifts may be altered depending upon the critical nature or emergency circumstances of the job. Work hours will be determined as required by conditions. Vacation and sick day allowances included in District Personnel Policy.
