ABR is recruiting a Director of Administration for a reputable non-profit organization in Central Wisconsin.
Hours are Monday – Friday, 8:00 a.m. – 5:00 p.m.
The salary range for this position is in the $45,000 - $55,000 per year range with full benefits.
The Director of Administration identifies and leads opportunities to improve operational effectiveness, ensures accuracy of donor and HR data, and completes timely and accurate grant financial claims. This position is critical in supporting compliance, risk management, and donor stewardship.
Director of Administration Qualifications: - Bachelor's degree from an accredited college or university or equivalent work experience
- Five years of progressively responsible relevant experience in administrative oversight
- Demonstrated ability to organize, direct, and coordinate operations
- Excellent verbal, written, interpersonal, and conflict resolution skills
- Strong organization and analytical skills with scrupulous attention to detail and confidentiality
- Experience working with Microsoft Office, Paycom (HRIS system) and donor management software is preferred
- Demonstrated ability to establish and maintain effective working relationships with staff, Board members, stakeholders, community groups, and related agencies
- Non-profit agency experience preferred
Physical Requirements and Work Environment: Active environment requiring alertness for several hours at a time
Must be able to function in a fast-paced and noisy environment
Some lifting and moving of moderately sized objects
Technologically capable in relation to products used by the company
Primary Duties and Responsibilities: Leadership
- With CEO oversight, effectively support human resource efforts, grant financial functions, and donor data management in the best interest of the organization
- Take an active role in the Finance/HR committee and/or other committees as needed
- Conduct and attend meetings and trainings on behalf of the company
- Foster a spirit of teamwork where ideas are welcomed, conflicts are resolved expeditiously, and diversity is valued; model the organization’s mission and values
Strategic Planning
- Work with the Administrative Team to identify and lead opportunities to improve operational effectiveness
- Support the development and implementation of an organizational strategic planning process to achieve annual program and financial objectives
Resource Development and Stewardship
- Oversee integrity of donor databases and ensure accurate, timely entry of gifts, pledges, and campaign data
- Support donor stewardship, acknowledgment letters, and reporting
- Attend events as requested to foster donor and community relationships
- Work with the Director of Resource & Marketing to ensure donor correspondence is timely, on message, and accurate
Finance and Administrative Support
- Process bank and ACH/EFT deposits with appropriate financial coding
- Build and maintain grant financial claim files
- Ensure grant-related expenditures are used as allowed, intended, and exhausted through accurate and timely claims
- Work with external auditors as needed on securing information, access to staff, and analysis of findings
- Ensure general office supplies are available and ordered as needed
- Draft minutes for Board and Finance/HR Committee meetings
Provide committee meeting support to CEO as requested
Compliance, Risk Management & Policy Oversight
- Maintain organizational policies, including conflict of interest, document retention, procurement, and restricted gift handling
- Support board governance compliance and assist with risk management practices (insurance, contracts, legal filings)
- Ensure adherence to HR and employment compliance requirements
Human Resources
- Ensure timely compensation of employees
- Lead, research, and recommend vendor relationships for payroll, benefits, and background check services
- Oversee operational effectiveness and accuracy of HRIS system
- Oversee benefit administration and payroll issues
- Support creation and proper implementation of employment processes, policies, and compliance requirements
- Support recruitment and onboarding of professional full-time employees
Professionalism
- Arrive on time and prepared
- Dress in accordance with the Employee Handbook
- Support the professional team in meeting program goals, objectives, and outcomes
- Be a positive role model inside the company and beyond
- Report any employee misconduct to the CEO and/or Board President immediately
